Associate Agreement

Last updated: 2026
This Associate Agreement outlines the expectations and professional standards for photographers joining the Wedding Union associate network.

By submitting an application or accepting an activation request through Wedding Union, you agree to the terms outlined below.

1.

Independent Professional Status

Associates operate as independent professionals.

Nothing within this agreement creates an employment relationship between Wedding Union and the associate photographer.

Associates are responsible for:

• their own tax obligations
• their own insurance
• their own equipment and professional conduct

Wedding Union acts only as a coordination and continuity network between members and approved associates.

2.

Professional Standards

Associates must maintain professional standards consistent with established wedding photography practices.

Associates are expected to:

• present themselves professionally when representing a member booking
• communicate respectfully with couples, venues, and suppliers
• deliver services consistent with professional wedding industry expectations

Wedding Union reserves the right to remove associates who do not meet professional standards.

3.

Activation Requests

Associates may receive activation requests when a Wedding Union member cannot attend a confirmed wedding booking.

Activation requests may include:

• date
• location
• coverage details
• member expectations

Associates are free to accept or decline activation requests.

Once an activation is accepted, the associate commits to fulfilling the booking professionally and reliably.

4.

Representation of the Member

When fulfilling an activation request, the associate photographer may be representing the member photographer’s booking.

Associates agree to:

• operate within the agreed structure of the booking
• avoid promoting their own services directly to the couple during the event
• respect the relationship between the member and their client

This ensures continuity and protects the member’s reputation.

5.

Professional Equipment

Associates must maintain sufficient professional equipment and backup equipment suitable for wedding coverage.

This typically includes:

• professional camera bodies
• backup camera equipment
• appropriate lenses and storage media

Associates remain responsible for their own equipment and technical preparedness.

6.

Confidentiality

Associates may receive private information relating to:

• member businesses
• wedding bookings
• client details

Associates agree to treat this information as confidential and not disclose it to third parties.

Associates should confirm payment terms before accepting an activation request.

7.

Network Participation

Wedding Union maintains a curated professional network.

Participation may be reviewed periodically based on:

• reliability
• communication
• professional conduct

Wedding Union reserves the right to suspend or remove associates from the network if standards are not met.

8.

Limitation of Responsibility

Wedding Union acts as a coordination platform and does not guarantee booking volume or activation opportunities.

Associates remain responsible for their own professional services and performance during assignments.

9.

Payment Arrangements

Payment for activation assignments is arranged between the member photographer and the associate unless otherwise specified.

Wedding Union does not typically handle payment between members and associates.

Associates should confirm payment terms before accepting an activation request.

10.

Acceptance of Terms

By submitting an application to the Wedding Union associate network, you confirm that you have read and agree to this Associate Agreement.
